How to track orders placed in the store

Hello! How are you?

In this article, we will show you how to track orders placed in the Store.

Important: for a network user to access the Store module, their role must have the required permission configured.

🛒Accessing placed orders

🟠Step 1 - Access Store orders

In the side menu, go to Store >> Orders.

On the screen that opens, you will be able to view:

  • Orders

  • Suborders

  • Products related to orders already placed

Orders tab

In the Orders tab, the following information is available:

  • Order ID;

  • Unit name;

  • Order creation date;

  • Last update date;

  • Number of suppliers linked to the order;

  • Total order amount;

  • Filters for each type of information.

Suborders tab

In the Suborders tab, the following information is available:

  • Order ID;

  • Suborder ID;

  • Payment method;

  • Supplier;

  • Order status;

  • Suborder date and last update date;

  • Delivery deadline;

  • Product value, shipping value, and total value.

🟠Step 2 - View order details

To see a more detailed view of an order, click the order you want to view. You will be taken to a second page with information such as:

  • Suborder ID;

  • Supplier name;

  • Order status;

  • Payment method;

  • Estimated delivery date;

  • Product value;

  • Shipping value;

  • Total value;

  • Order verification, when available for adjustment by the supplier.

⚠️Important: when an order includes more than one supplier, the card indicates the number of suppliers and each suborder is directed to the respective supplier. Suppliers do not have access to other suppliers’ orders.

🔍How to search for an order

In the Orders tab, use filters to make searches easier:

  • Order code;

  • Unit name;

  • Supplier name;

  • Order start date;

  • Order end date.

In the Suborders tab, in addition to the previous filters, you can also use:

  • Suborder code;

  • Order status.

🔄️Changing the order status

After an order is generated, an email is sent to the supplier so they can approve, reject, or change the quantity of items in the order.

Important: this email is sent to the email addresses registered for the supplier.

🎯Changing status through the platform

If the email registered for the supplier belongs to a user with access to the platform, the Change status button will be available when accessing the suborder.

After confirming the redirect action, the user will see the new order screen with the order information and can proceed with the allowed action.

Good practices

  • Use filters to locate orders faster.

  • Check the order and suborder status regularly.

  • Confirm supplier information before changing any status.

  • Review order values, delivery deadlines, and linked suppliers.

  • Use the details page to verify each suborder separately.

This cancellation action cannot be undone!
